FAQs on the annual deadline § 16 para. 1 Examination Regulations

1. review period

The re-examination periods are included in the deadline.

Example: The examination was not passed in the main examination period summer semester 2023. It must therefore have been retaken in the re-examination period of the summer semester 2024 at the latest (October/November 2024).

If the examination is failed again, the one-year period starts again from the beginning.

 

2. one semester of leave/one internship semester/one semester abroad

During a semester of leave/practical semester/semester abroad (compulsory module), no examinations will be registered for ex officio. In the following semester or examination period, automatic registration for examinations takes place again. Students are responsible for repeating the failed examination within the deadline (see point 1) despite a semester of leave/practical semester/semester abroad taken in between.

Exception = 2 semesters of leave:

Example: The examination was not passed in the main examination period summer semester 2023. In the winter semester 2023/2024 and in the summer semester 2024, the student is on leave of absence. The examination must then have been repeated in the re-examination period of the summer semester 2025 at the latest (October/November 2025).

 

3. notification of illness

Notification of illness is not taken into account when setting the annual deadline.

 

Please note:

  • The Examinations Office does not check submitted deregistrations for examinations for an impending one-year deadline!
  • Not all examinations are always offered in the re-examination period!
  • You can appeal against the grades published in the portal within one month of their announcement (see the respective publication date) to the responsible examination board of the respective faculty (postal address: Hochschule Zittau/Görlitz, Theodor-Körner-Allee 16, 02763 Zittau) in writing, in electronic form according to § 3a paragraph 2 VwVfG or for recording. The electronic form pursuant to Section 3a (2) VwVfG requires an electronic document that is provided with a qualified electronic signature or has been sent using the delivery method pursuant to Section 5 (5) of the De-Mail Act. It is not possible to lodge an objection by simple e-mail; the required form of objection is therefore not complied with.

Areas of responsibility

  • Recording and managing grades
    • Students can print out their grade overviews online at (login with Novell login and password).
    • Provision of complete transcripts of records in the event of early exmatriculation, for examination boards, applications, recognition of examination results
  • Preparation of certificates and diplomas

    They are usually issued within four weeks of the defense or the last examination. They are issued or sent out by the Admissions Office.

  • Evidence for BAföG recipients

    Certificate according to §48 BAföG (Form 5)

    • This form must be submitted to the BAföG office once during your studies.
    • Either: after the 3rd semester (90 ECTS credits must have been earned) or after the 4th semester (110 ECTS credits must have been earned).
    • For degree programs in the Faculty of Social Sciences, the following applies: either after the 3rd semester (90 ECTS credits must have been earned) or after the 4th semester (105 ECTS credits must have been earned).
    • The application forms can be submitted to the Examinations Office before the examination results are announced (in person or by post/post box).
    • The Examinations Office will forward the form to the BAföG office after receiving the grade reports!
    • The forms must be submitted to the BAföG office by the end of the fourth month of the following semester at the latest.

     

    Certificate according to §15 (3a) BAföG

    Fully completed application forms will be confirmed by the Examination Office and forwarded to the BAföG Office (hand in in person during office hours or by post/house mailbox).

  • Exam organization

    Registration ex officio

    • Upon enrolment or re-registration, the student is officially registered for the module examinations (PK, PL, PM,...) including preliminary examinations (VL, VB, VK...) scheduled in the study or examination plan for the relevant semester.
    • Candidates are obliged to check their registrations in the student portal under "Information on registered examinations" before the start of the examination period.
    • If there are any discrepancies, please contact the Examinations Office (by telephone, e-mail or in person during office hours).

     

    Deregistration

    • Every candidate has the opportunity to deregister from examinations or preliminary work by submitting an "Application to deregister from an examination" to the Examinations Office no later than two weeks before the start of the respective examination period (the date is shown in the academic year schedule).
    • In this case, the candidate is automatically registered for the next examination or repeat examination.
    • Please note: Failed module examinations must be retaken within one year of completing the first examination attempt.

     

    Registering for examinations during semester of leave/practical semester

    Students on leave of absence/practical semester who wish to take examinations must register at the Examinations Office at least two weeks before the start of the respective examination period using the "Application for Registration" form.

     

    Registration for additional (optional) examinations

    • Students who wish to take additional examinations must register with the Examinations Office at least two weeks before the start of the respective examination period using the "Application for registration" form.
    • In the case of optional modules, students can decide whether they wish to have the module indicated with a grade or with a certificate. For this purpose, informal written notification (also possible by e-mail) must be sent to the Examinations Office.
    • Please note that only fully completed modules (all partial examinations and preliminary work passed) can be listed on the certificate with a grade or certificate.
    • ECTS points are only certified if grades are awarded.

     

    Registration for early completion of examinations (free attempt)

    • Every student has the opportunity to take examinations from higher semesters before the regular examination registration for the respective semester.
    • The examination board of the respective faculty or the lecturer of the module can reject these registrations for capacity reasons.
    • For this purpose, the "Application for registration" must also be submitted to the Examinations Office at  no later than two weeks before the start of the respective examination period.
    • Only one examination attempt per module is possible. 

     

    Withdrawal from the examination due to illness, childcare, accident, etc.

    If the candidate is unable to take part in an examination, the "Application for recognition of reasons for non-participation" must be completed and submitted online within one calendar week (see Campus app or link).

    Proof of incapacity for the examination (sick bills, accident reports, etc.) and an officially certified German translation of the proof in the case of foreign sick notes must be attached to the application.

    Even after the introduction of the electronic certificate of incapacity for work (eAU) from January 1, 2023, a copy of the certificate of incapacity for work (copy for the employee) must be submitted to the examination office. The diagnosis can be blacked out.

    The examination board of the respective faculty decides on applications received at a later date. For this purpose, an informal written justification for the late submission must also be attached to the online form ("Comments" field).

     

    Application for a second repeat examination

    The application for a second resit examination must be submitted to the Examinations Office within one month of the announcement of the examination results in the student portal. Late or unsubmitted applications will result in de-registration.

     

    Admission to the final examination

    After all module examinations prescribed in the examination regulations have been successfully passed, admission to the final examination is issued ex officio. The Examination Office forwards the admissions to the respective faculties. The faculty is responsible for monitoring the deadlines for submitting topics.
