Apprenticeship as an office management assistant

On 1 August 2014, the office management assistant will become a newly recognized training occupation. It combines the three professions of office clerk, office communication clerk and office communication specialist into one profession. Specialists are trained in companies in industry, trade and commerce as well as in public administration.

During your training, you will learn comprehensive activities for handling complex office and business processes. You will also deal with work organization as well as information, communication and cooperation in the company or institution.

Your tasks at the Zittau/Görlitz University of Applied Sciences

During your 3-year apprenticeship, you will pass through the structural units of the university administration. Among other things, you will learn how to create business letters, file notes and statistics. You will plan, coordinate and monitor appointments, take telephone calls, sift through and distribute incoming mail. You will familiarize yourself with the procurement of materials, starting with the invitation to tender, initiating orders and checking incoming goods.

At information events, education fairs, open days or similar events, you will plan the organizational process and make the necessary arrangements.

For trips outside the business area, you will look for the shortest route to the travel destinations and reserve/book hotel rooms near the event.

You will also support the in-house print shop with the completion of printed materials. As you can see, the job involves a wide variety of activities.

Course of the apprenticeship

You will learn the theoretical and practical skills and abilities at the Zittau Vocational School Center and through the university administration.
You will also learn about payment and credit transactions and accounting in a six-month inter-company* training period.

What is important?

  • Flexibility, as you can quickly switch between different activities
  • Good knowledge of German and English is important for internal and external correspondence
  • Good knowledge of mathematics and basic arithmetic is required to carry out cost calculations or postings
  • IT skills make it easier to work with application programs
